Refund & Cancellation Policy

Last updated

A newer version of this document is published at /legal — that is the canonical copy.

This policy explains what you are paying for, how to cancel, and when money comes back. It forms part of our Terms of Service. Clavix 360° is sold to businesses, and this policy is written for a business buyer.

What you are paying for

Clavix 360° is sold as a subscription, in two parts:

  • A recurring subscription fee: a flat price per period, which includes the number of seats stated for that plan; seats beyond that number are charged at the per-seat rate shown at sign-up. Billed monthly or annually in advance.
  • A one-time setup fee, payable once at provisioning, covering environment creation, configuration, data-import assistance and initial training.

Both are shown before you order. The amount invoiced is the amount published for the plan and billing period you chose.

Cancelling your subscription

You can cancel at any time. There is no cancellation fee and no notice period.

  • Write to billing@clavix360.app, or use the cancellation option in your account.
  • Cancellation takes effect at the end of the billing period you are already in.
  • You keep full access until that date — we do not cut access off early.
  • The plan then stops and does not renew.

Cancelling part-way through a period you have already paid for does not by itself produce a refund for the remainder of that period.

Refunds

Clavix 360° is sold to businesses. A company buying software to run its business is not a consumer, so the consumer distance-selling regime, and the statutory right of withdrawal that comes with it, does not govern these contracts.

What governs them is a commercial term, offered because it is fair and not because a statute compels it. You may cancel at any time, with no fee and no notice period: the plan runs to the end of the period already paid for and then stops. Part-periods are not refunded as a matter of course, because a period you have had access to is a service you have received.

We do refund, without argument, where we billed in error, took a duplicate payment, materially failed to provide the service for a sustained period through our own fault, or closed your account for a reason that was not your breach. Outside those cases, ask anyway: we would rather resolve a billing complaint than win one.

How to ask for a refund

Write to billing@clavix360.app. That one address is the only channel for a refund request, and it reaches the people who can action it.

Include the company name on the account, the email address you signed up with, and the invoice number — or, if you do not have the invoice to hand, the date and amount of the payment. Say what you are asking for and why.

Where the money goes back to

A refund of a card payment is returned to the same card the payment was made with. Card scheme rules require it: it cannot be redirected to a different card, to a bank account, or to anyone other than the cardholder.

Do not send your full card number, its expiry date or its security code. They are not needed and will never be asked for. If the card has since expired or been closed, say so — the refund is still issued to that card, and the issuing bank forwards it.

How long it takes

Once a refund is accepted we instruct it without undue delay. When it then appears on the statement is set by the card-issuing bank's own processing time, not by us, and we cannot shorten it. We will not quote a period we do not control; ask us for the refund reference and your own bank can tell you where it is.

The one-time setup fee

The setup fee pays for work performed once, at the start: creating your environment, configuring it for your industry, assisting with data import and training your team. It is not refundable once that work has begun. If you cancel before it has begun, it is refunded in full.

Who we sell to

Clavix 360° is sold to businesses, and the sign-up flow enforces that: a paid account cannot be created without a company email address, and an order cannot be placed without a tax or VAT registration number, which is checked for the shape a tax number takes and printed on your invoice. A sole proprietor trading on their own personal tax number is a business buyer and is accepted as one.

What that check does and does not establish, stated plainly: it establishes that a business number was asked for and supplied. It is not a registry lookup, and we do not claim to have confirmed that the business exists. If you are not buying for a business, Clavix 360° is not sold to you, and you should not create a paid account. If your situation is genuinely unclear, write to us before you order and we will deal with it in good faith rather than argue the point afterwards.

Failed payments, suspension and termination

If a payment fails we will tell you and allow a short grace period to correct it before access is suspended. Suspension for non-payment does not create a refund of amounts already due. Suspension and termination are otherwise governed by the Terms of Service.

Taxes

All prices, invoices and payments are in euro (EUR). Prices are shown excluding VAT and any other applicable tax, which is added where it applies. Where a refund is made, any tax charged on the refunded amount is refunded with it.

Complaints and dispute resolution

If you disagree with a decision made under this policy, reply and ask for it to be reviewed. We would rather resolve a billing complaint than win one.

Governing law and jurisdiction are as stated in the Terms of Service: the Republic of Türkiye, with the courts and enforcement offices of Istanbul.

This policy sets out a commercial term, not a statutory one. If, despite the sign-up requirements above, a buyer turns out in fact to be a consumer, nothing in this policy removes a right the law gives them.

Changes to this policy

We may update this policy. Material changes will be notified by email or by in-product notice before they take effect, and the version in force when you placed your order is the version that governs that order.
